What is logged
FleetConsole keeps a secure, tamper-evident record of activity in the system. This page explains what is recorded, why, how long it is kept, and who can see it.
What is recorded
- Changes to records: when a load, driver, bill, safety case, HR record, repair order, truck, trailer or other company record is created, changed or deleted. For changes, the field and its old and new value are recorded.
- Who and when: your name, username, role and department, and the date and time.
- Sign-ins: successful sign-ins, sign-outs and failed sign-in attempts, with the network (IP) address and browser used.
- Last seen: the time you last used FleetConsole and the page, so managers can see who is currently active.
- Platform support access: if a FleetMasters platform administrator opens our company workspace, that is recorded too.
Simply viewing a page is not recorded as a change.
What is never stored in readable form
Passwords, security tokens and keys are never written to the activity record. Social Security, license, bank and card numbers keep only their last four digits, dates of birth are hidden, and uploaded files are recorded only as a size and a fingerprint, not their contents.
Why
- To know who opened, changed and closed each load, and to answer "who changed this?" for any record.
- To protect you and the company: mistakes can be traced and corrected, and unusual activity (such as many deletions or failed sign-ins) can be noticed early.
- To meet record-keeping and safety obligations for drivers, equipment and billing.
How long it is kept
Activity records are kept in the live system for 13 months. After that they are moved to secure archive files on company backup servers and removed from the live system. Records cannot be edited or deleted by anyone using the app; every entry is chained to the one before it so any change would be detected.
Who can see it
- Company admins, the CEO and managers can see the Activity dashboard: who is active, the activity feed, counts and warnings, and can export it.
- Staff in a department can see the History of records in their own area (for example dispatch for loads, billing for bills, HR for HR records).
- Our company's records stay in our company's own database. Other companies using FleetConsole can never see them.
- FleetMasters platform administrators only see company activity when they enter our workspace for support, and that visit is itself recorded.
